Setting Up Transportation Services

Setting Up Transportation Services For Your Business

As we said earlier, setting up the information for the transportation companies you use is pretty much identical to setting up your other suppliers. You can refer to the previous instructions for suppliers if you need assistance entering this information. Transport companies are accessed from the Purchasing Main Menu, the Suppliers window, or from the Setup Guide.

Once you have your transportation companies set up you will need to select Transport Routes at the right of the information window. We have chosen to use shipping routes as the method for tracking the various transportation services. As the name implies, you set up your shipping services by routes, such as local, national, international (or however else you wish to set them up).

Setting Up The Transportation Route Information

  1. As in the setups for goods and services and products, the first field at the top is the CATAGORY field. The only choice for this field is Transportation. Select it from the drop-down list.
  2. The next field is the ITEM #. And again, you must provide a number or code for this field in order for the application to work correctly.
  3. The ROUTE field can be used in any way you choose to use it. You can use your shipping supplier’s rate sheet to identify the routes they offer, or you can use your own breakdown of shipping routes.
  4. DESTINATION is pretty self-explanatory, so we will leave this field up to you.
  5. You can enter any pertinent information about either the route or a particular shipping company in the description field. Perhaps you need to package your product in an certain manner, or in a specific type of container. This would be a could place to record those requirements.

Below the route information is the Transport Rate section. This is set up the same as in the previous setups: the shipping company and number, the cost of shipping and delivery time gets entered in this section. You can also assign multiple shipping companies here.

Shipping Example

Clicking the button to the left of the company code will take you to the main Transport Rate window. Here you have a few more fields of information you can use if you wish. MAXIMUM WEIGHT can be used for couriers or small trucking companies that have weight restrictions. UNIT can be used to indicate if you are required to ship your product on a skid, or in a certain size carton, etc. And the LAST UPDATED field allows you to track how current your recorded price is from this particular company.


Well, that’s it! You now have Purchasing set up for use. The next step is to go on and set up your Sales module so you can begin taking orders from your customers. If you are using the Setup Guide, don’t forget to check these sections as being completed.
