Customer Quotes
Now that your customer information, labor, materials you use or sell, and your company information is in place, you can proceed to the quotation part of your business.
We have divided this into several sections for easy data entry. Basicly the steps you take are:

Each section is clearly available to access from each screen. You can view the Quotation at any time during this process.
NOTE: Deleting any section of the quote, will delete ALL the quote and billing information. It is advisable to make the correction by highlighting the err and changing the information unless you wish to start the quotation process completely over.
There are a couple of special features in ordering that is worth mentioning before we begin. When you select the material your customer is ordering and enter the quantity, the application will check the inventory level for that item. If there is not enough inventory to fill the order, a pop-up message will appear advising you of the situation. The message will also give you the negative balance caused by the order. This allows you to adjust the quantity ordered and place the balance on backorder.
If the quantity ordered places your inventory balance below the reorder level, the application will also send you a message advising you of this, as well.
Instructions For Entering Quotes:
- The current date will automatically display when you select the NEW JOB button on the Job Information view. This is the starting place for all quotes.
- The CUSTOMER # field is a drop-down list of your customers. When you select the desired customer, the number will display in this field.
- The QUOTE NUMBER has been set up as an automatic number. If you do not wish to go with the autonumber, you can change it to whatever numbering system you wish to use. The Quotation, Picking Slip, and Invoice numbers are set to default to the automatic order number. If you prefer using different numbers for these documents, you can simply change the numbers.
- Using the JOB DEADLINE field is used to focus when they need the job finished to help you in quoting the project.
- The name of the customer representative who is placing the quote can be entered into the CUSTOMER REP field. This person will be addressed on the quotation.
- The JOB DETAILS field is again for your records. You can put whatever facts you need to remember in this section.
- CUSTOMER PO field is provided for when your customer provides you with a PO. If provided, this will appear on the printouts for reference purposes.
- The QUOTE ACCEPTED and QUOTE REJECTED fields are to be used later when the decisions are made.
DATE provides for tracking information.
You now will proceed to Labor or Materials, depending on the needs of your quote.
